The Challenge
Saving paper and simplifying processes with electronic signatures
Piles of paper everywhere - the employees of the roughly 50 companies of BKW Building Solutions knew this only too well. However, BKW's area of expertise was well aware that the physical handling of documents not only wastes time, but that the associated printing and scanning processes are also having a negative impact on the environment and the company's finances. With the introduction of the signeer signature platform, the corporate group was therefore working towards several goals at once: not only should faster processes be achieved through fewer physical documents, thereby increasing efficiency, but also achieving the related sustainability and cost reduction through reduced paper usage.
the solution
Careful transition towards digital signatures
To tackle these challenges, BKW Building Solutions opted for signeer as a standalone solution for electronic signatures. While the technical setup of the SaaS application only took a short time, the introduction of the signature platform was planned very carefully in order to familiarize employees with the new technology. The launch started with an internal communication to the group's employees to inform everyone about the new tool. BKW Building Solutions then published a brief description of the application on the intranet and conducted training sessions via Microsoft Teams. mesoneer supported the BKW Building Solutions during the entire introduction phase in order to ensure the smoothest transition possible for the group of companies to the digital signature. Nevertheless, the process was not unnecessarily extended: "Together with mesoneer, we were able to cover all the necessary points for the introduction in a short period of time," explains Belkis Kassar, ERP & Business Application Analyst at BKW Building Solutions.
the result
Electronic signing with a promising future
The effort involved in planning the rollout has paid off: signeer has been well accepted by the group's employees. The majority of offers, contracts and internal documents are now signed digitally, with both the simple electronic signature (SES), the advanced electronic signature (AES) and the qualified electronic signature (QES) being used. "The signature platform is simple and user-friendly, which was one of the reasons why we chose signeer," says Belkis Kassar. In addition to the attractive pricing model, the digital signature solution stands out for Kassar thanks to its ongoing development: "We at BKW Building Solutions appreciate the fact that mesoneer continues to work on the signature platform and are already looking forward to new features."
